Your toolkit

Simple tools for handling data well

Data Inventory

Kind · Where · Label · Unsure · Ask

List eight kinds of data you handle, where each one lives and a label for each, public, internal, sensitive or your organization's own.

Need-to-Keep Check card

Why · Copy · Guidance · Choose · Tidy-up

Check why you hold an item, whether a copy exists, what your organization's guidance says and what to do, and set a monthly tidy-up.

Right-Place Check card

Item · Label · Place · Who sees · Move

Name the item, its label and the place your organization provides for it, check who else can see that place and look for the three signs of the wrong place.

Share Check card

Who · What · How · Why

Ask who needs it, what part, how your organization names and why, before you send an attachment, a message, a screenshot, a link, a printout or a call.

Just-Enough Check card

Purpose · Smallest piece · Who else · Ask

Name the purpose, the smallest piece that serves it and who else will see it, and write one question for your lead.

Mistake Response Card

Stop · Tell · Contain · Write down · Learn

Stop, tell your contact, contain only as asked, write it down and learn, with message scripts and a Disposal Checklist for paper and files.

List it. Trim it. Place it. Share it. Fix it. Let it go.
